ResvPro Privacy Policy

ResvPro LLC ("ResvPro," "we," "us," or "our") is a Florida limited liability company that provides an AI-powered reservation and operations platform for tour, activity, watersports, and rental businesses. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

This Policy covers:

  • resvpro.com and any other website, landing page, or form we operate (the "Site");
  • the ResvPro platform, dashboards, APIs, integrations, and applications we make available to business customers (the "Services"); and
  • our voice, SMS, chat, and email communications, including calls handled by our AI receptionist.

If you do not agree with this Policy, please do not use the Site or the Services.


1. The two roles we play

Our privacy obligations depend on whose data is involved. Read this section first — the rest of the Policy refers back to it.

If you are a guest or customer of a business that uses ResvPro: the business you booked with — not ResvPro — decides what data is collected about you and why. Direct requests to access, correct, or delete your information to that business first. If you contact us instead, we will refer you to them or forward your request, and we will help them respond.


2. Information we collect

2.1 Information you give us

  • Contact and account information: name, business name, email address, phone number, role, mailing address, and account credentials.
  • Demo, trial, and sales inquiries: what you tell us about your operation — activity types, booking platform, fleet or capacity, locations, volume, and needs.
  • Support and correspondence: the content of emails, chat messages, support tickets, and calls with us, including attachments.
  • Billing information: billing contact, billing address, plan, and transaction history. Card and bank details are collected and stored by our third-party payment processor, not by ResvPro. We do not store full payment card numbers on our systems.
  • Content you upload or configure: business policies, pricing, schedules, waiver templates, knowledge-base content, prompts, and other material you put into the Services.

2.2 Information we collect automatically

  • Device and log data: IP address, browser type and version, operating system, device identifiers, referring and exit pages, pages viewed, and timestamps.
  • Usage data: features used, actions taken in the dashboard, API calls, error and diagnostic data.
  • Cookies and similar technologies: see Section 7.

2.3 Information from your connected platforms

When you authorize an integration — for example your booking platform, a waiver or e-signature tool, a calendar, or an automation tool — we receive data from that platform to make the Services work. That typically includes bookings, availability, customer contact details, waiver status, and transaction records. We access only what the integration you enable requires, and we use it to provide the Services to you.

2.4 Communications processed through the Services

  • Voice: inbound and outbound call audio, recordings where enabled, transcripts, call metadata (numbers, time, duration, outcome), and any information a caller provides during the call. Where a business enables optional voice cloning, this also includes the voice recordings that business supplies and the synthetic voice model derived from them. See Section 4.
  • SMS and messaging: message content, phone numbers, delivery status, opt-in and opt-out records, and consent evidence. See Section 5.
  • Chat and email: message content, sender and recipient details, and delivery and engagement metadata.

2.5 Information we do not want

Please do not send us, or put into the Services, government identification numbers, full payment card numbers, health records, or other sensitive categories of data except where a field is specifically designed for it. If you send us information we did not ask for, we may delete it.


3. How we use information

We use information to:

  1. Provide the Services — answer calls, take and modify bookings, send confirmations and reminders, run waiver and eligibility checks, maintain customer records, and sync with your connected platforms.
  2. Set up and support your account — onboarding, configuration, troubleshooting, and responding to your requests.
  3. Bill and administer — process subscriptions, invoices, renewals, and collections through our payment processor.
  4. Secure and maintain the Services — detect and prevent fraud, abuse, spam, and security incidents; monitor performance, reliability, and errors; keep audit records.
  5. Communicate with you — service notices, security alerts, changes to terms, and, where permitted, marketing about ResvPro. You can opt out of marketing at any time; you cannot opt out of essential service and billing notices while you have an account.
  6. Improve the Services — analyze usage patterns, diagnose failures, and develop new features. We do not use Operator Data to train general-purpose AI models, and we do not permit our AI vendors to train their models on Operator Data.
  7. Produce aggregated and de-identified insights — statistics and benchmarks that do not identify you, your business, or any individual. We may publish or use those insights freely.
  8. Comply with law — respond to lawful requests, enforce our Terms, establish or defend legal claims, and meet telecommunications, tax, and recordkeeping obligations.

Legal bases (where required by law): performance of a contract, our legitimate interests in operating and securing the Services, your consent (for example, marketing messages and non-essential cookies), and compliance with legal obligations.


4. AI-assisted calls and call recording

The ResvPro AI receptionist answers and places calls on behalf of businesses that use the Services.

  • AI disclosure. Calls handled by the AI are disclosed as automated at the start of the interaction, and callers may ask to be transferred to a person. Business customers must not disable or misrepresent that disclosure.
  • Recording consent. Florida is an all-party consent state for recorded communications (Fla. Stat. § 934.03), and other states have similar laws. Where recording is enabled, all parties are notified at the beginning of the call and given the opportunity to decline or disconnect. Business customers are responsible for enabling recording only where they have a lawful basis and for keeping the recording notice active.
  • What we keep. Where recording is enabled, we store call audio, transcripts, and structured outcomes so the business can review interactions, resolve disputes, and improve service. Retention follows Section 9 and the business's configured settings.
  • Human escalation. Ambiguous, safety-related, or high-risk interactions are escalated to a human. The AI does not create policy exceptions or promise remedies a business has not authorized.
  • Not an emergency service. The Services cannot connect a caller to 911, the U.S. Coast Guard, law enforcement, or medical services. Businesses using ResvPro are required to maintain a separate, human-answered path for emergencies.
  • Health information volunteered on calls. Callers sometimes state medical or physical conditions when asking whether an activity is suitable for them. The Services are not designed to collect health information and are not HIPAA compliant. Where a caller volunteers it, the business you booked with — not ResvPro — decides whether that information is retained and is responsible for its handling.
  • Voice cloning. A business may choose to have us generate a synthetic version of a specific person's voice for its agent. That business is responsible for obtaining that person's consent, including any written consent required by biometric privacy law. We process voice recordings and voice models only on that business's instructions, and we do not use them for any other business or purpose.

5. SMS and text messaging

Consent. ResvPro and the businesses that use ResvPro send text messages only to people who have opted in. Consent is collected at the point of sign-up, booking, or inquiry, and is never a condition of purchase. We do not buy, rent, or sell phone lists.

Program details. Program name: ResvPro. Message types include booking confirmations, reminders, schedule and weather changes, waiver and check-in links, service replies, and — where separately consented — account and product updates. Message frequency varies by the business and the messages you request; it is typically recurring. Message and data rates may apply.

Opt-out and help. Reply STOP to any message to opt out at any time. You will receive a single confirmation and no further messages from that program. Reply HELP for assistance, or contact privacy@resvpro.com. Carriers are not liable for delayed or undelivered messages.

How mobile data is handled. We use mobile phone numbers and message content to deliver the messaging service and to keep records of consent and delivery. We share them only with the messaging and telecommunications providers who transmit the messages on our behalf, and only for that purpose.

All the above categories exclude text messaging originator opt-in data and consent; this information won't be shared with any third parties. Mobile information, opt-in data, and consent will not be shared with third parties or affiliates for marketing or promotional purposes.


6. When we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Categories of subprocessors currently in use include website and application hosting, Google Workspace (email and productivity), Twilio (telephony and messaging), AI model providers for voice and text generation, a payment processor, and web analytics. A current list of named subprocessors is published at resvpro.com/subprocessors.


7. Cookies and analytics

The Site uses cookies and similar technologies to keep the site working, remember preferences, measure traffic, and understand which pages and campaigns perform. Categories:

  • Strictly necessary — security, load balancing, form submission, and session integrity. These cannot be turned off.
  • Analytics — aggregate measurement of visits and page performance.
  • Marketing — where used, measurement of ad and campaign response.

You can block or delete cookies in your browser settings; parts of the Site may stop working if you block necessary cookies. Some browsers send a Global Privacy Control (GPC) signal; we treat a GPC signal from your browser as a valid opt-out of sale or sharing where applicable law requires it.


8. Security

We use commercially reasonable administrative, technical, and physical safeguards, including encryption of data in transit, access controls and least-privilege permissions, environment separation, logging, and vendor review. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and any affected parties as required by law and by our agreement with you.


9. How long we keep information

Backups are purged on a rolling schedule after deletion from live systems.


10. Your privacy rights

Depending on where you live, you may have the right to:

  • know what personal information we hold and request a copy (access / portability);
  • correct inaccurate information;
  • delete information;
  • opt out of sale, sharing, targeted advertising, or certain profiling — we do not sell or share personal information as those terms are defined in U.S. state privacy laws;
  • limit the use of sensitive personal information;
  • withdraw consent where processing is based on consent; and
  • not be discriminated against for exercising these rights.

How to exercise: email privacy@resvpro.com with the request and enough information for us to locate your records. We will verify your identity before acting, respond within the time required by applicable law (generally 45 days, extendable once where permitted), and tell you if we cannot act and why. You may use an authorized agent where the law allows.

Appeals. If we deny your request, you may appeal by replying to our decision with "Appeal" in the subject line. We will respond in writing within the period your state's law requires and, if we deny the appeal, explain how to contact your state attorney general.

Guests and customers of ResvPro businesses: requests about your booking, waiver, or call records go to the business you booked with. See Section 1.


11. Children

The Site and the Services are not directed to children, and we do not knowingly collect personal information directly from anyone under 13. Some businesses using ResvPro serve minors as guests — in those cases a parent or guardian provides the minor's information through the business's booking or waiver process, and the business is responsible for obtaining the necessary consent. If you believe a child's information reached us in error, contact privacy@resvpro.com and we will delete it.


12. Where information is processed

ResvPro operates in the United States, and information we collect is processed and stored in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.


13. Third-party sites and platforms

The Site and the Services link to and integrate with third-party services we do not control, including booking platforms, waiver tools, payment processors, and social media. Their privacy practices are governed by their own policies. Review them before providing information.


14. Changes to this Policy

We may update this Policy as the Services, our vendors, or the law change. We will post the revised Policy with a new effective date and, for material changes affecting business customers, notify account administrators by email at least 30 days before the change takes effect where practical. Continued use after the effective date means you accept the revised Policy.
